What we collect and why

Westernesse collects your name, email, optional phone number, project location and role, project type and stage, drawing availability, desired timing, description of the help needed, and consultation availability and timezone. We use this information to review your project, contact you, arrange a consultation, and prepare a proposal if appropriate.

Storage and access

Inquiries are stored on Westernesse’s hosting system on Lothlorien. Access to the internal inquiry view requires an authorized account. Internal notes and follow-up statuses are private. Backups are kept for recovery. Hosting administrators with authorized system access can access stored information. HTTPS requests pass through Cloudflare’s tunnel service to reach the hosting system.

Consultation requests and notifications

This site collects consultation requests rather than reserving calendar appointments. We confirm the appointment afterward. The internal review system retains your request even if notification delivery is unavailable. If email notifications are enabled, they contain a link to the protected review page, not your project description. Follow-up communications and video meeting arrangements may use separate email or meeting services.

Cookies and technical information

Essential session and security cookies support form submission, duplicate prevention, and authenticated administration. We use no advertising or analytics trackers. Short-lived hashed connection identifiers help limit spam. We do not put inquiry content in routine application logs; hosting infrastructure may retain technical request information such as IP addresses, timestamps, and URLs.

Documents and AI

This inquiry form does not accept uploads. Please do not include sensitive documents or unnecessary personal or financial information. Submitted information is not sent to AI providers by this website.

Retention and requests

We keep inquiry information for project follow-up and administration. Closed inquiries are reviewed periodically and removed when no longer needed, subject to any obligations that apply to an accepted engagement. Recovery backups may retain deleted records until the backup retention period expires. To request correction or deletion, reply to Westernesse’s project correspondence or submit a short inquiry referencing your earlier request without adding sensitive details.
